Overview
If you need to transport your robots / equipment as cargo, you will need a specialized company that can collect this cargo at your premises, is responsible for all transport logistics, makes customs clearance in Germany (temporary or permanent importation) and delivers the cargo at the venue in the beginning of competition.
DHL Trade Fairs & Events GmbH is the official worldwide logistics partner for RoboCup 2016 and the sole official logistics provider at fairground in Leipzig.
DHL Trade Fairs & Events GmbH is a part of DHL Deutsche Post Group with a large experience in logistics service for exhibition, shows and events. With a full range of freight transportation, handling and customs services they can deliver your equipment from your door to your team area at fairground Leipzig from almost all countries. Please note:
- Every team is responsible for receiving their own goods at the venue. RoboCup 2016 will not receive or store any goods;
- RoboCup 2016 organization is not responsible for calamities, disputes or claims concerning direct agreements between participants and any shipper.
Cargo logistics
When organizing the transportation with your own logistics partner we recommend that all RoboCup cargo is directed as follows:
- For transportation by air: to Leipzig Airport (LEJ)
- For transportation by sea: to Hamburg harbor (HAM)
From there it can be moved to the fairground in Leipzig in the fastest and most economical way. DHL Trade Fairs & Events GmbH as official cargo agency prepared a set of forms and instructions below. Please read them carefully and follow them to make sure your cargo is at the venue on time. Also please understand that if one fails to comply with these procedures, we cannot assure the delivery of your cargo at the venue on schedule neither the estimated costs you.

Cargo price policy
The price of your cargo will significantly change according to its size, weight, estimated value and your location. DHL Trade Fairs & Events GmbH can perform an obligation free quote for the specific requirements of your shipment.
Considering a hypothetical cargo as follows, the table below presents detailed charges for the shipping of the mentioned base:
- Air freight
- 1 (one) box with 50kgs - non Dangerous goods
- Dimensions 1,5m x 1,5m x 1,5m = > chargeable weight: 562,5kgs
- From door to booth and return to origin.

Important Notes
Information about the transport of robotics in your carry-on luggage
We advise all participants, who are transporting their robots in carry-on luggage, to apply for ATA Carnet before travelling. Application occurs with the relevant authorities, normally with the chamber of commerce. Creating ATA is fee required. Please ask for processing time and costs at your responsible department.
